The easiest and most common way to create an email is by copying an existing one. The steps below will outline how to create an email via copying, but to create on from scratch the steps are the same except you will select Create Email instead of copying an existing one
To create an email:
- Navigate to the Processes tab
- Select Emails
- Select the copy icon on the email you want to copy
- Enter the Reference Name
- Reference name is the value used to identify the email and is a required field. It is a value that can be utilized to search for specific emails. Reference names must be unique across all emails (including Click Standard emails) and can be up to 200 characters. When you copy an email, it will append ‘Copy of’ to the front of the reference name
- Enter the Subject
- The subject will be what is shown in the subject line of the email when sent. This is a required field in the email and cannot be blank. It can be up to 200 characters and does not have to be unique between emails.
- Enter emails for CC and/or BCC
- Custom emails are allowed to have one CC and one BCC email address that can be added to a custom email. These fields are optional
- Note that if you want the email to be sent to a specific user in the system, we recommend adding this in the process flow configuration.
- Add attachments
- Attachments can be uploaded to emails and sent along with the email message. Attachments are limited to 5mb.
- Before adding attachment consider if it makes more sense for the file to be included as a form in the process flow.
- Below is a list of supported file types:

- Enter the email content
- Select Save
Content Editor
The editor is utilized to edit and create the body of the email. Available tools include:
- Merge Fields (A.K.A. Tokens)
- Allows you to enter a placeholder placeholder that will be replaced with an employee specific value when it is sent to the employee
- Source Editor
- Allows more advanced users to edit the HTML and CSS of the email
- Show Blocks
- Allows you to see the different HTML elements
- Styles
- Allows you to set Heading 1, 2, 3, etc
- Font Size
- Font Family
- Font Color
- Bold
- Italics
- Underline
- Remove Format
- Emojis
- Horizontal Line
- Block Quote
- Bullets
- Numbers
- Align Left
- Align Center
- Align Right
- Justify
- Insert Link
Merge Fields (A.K.A. Tokens)
You can personalize your emails using tokens. A token is a placeholder that will be replaced with an employee specific value when it is sent to the employee. For example, if you use the token [First Name], when the email is sent to the employee, [First Name] will be replaced with the employee's first name. You can quickly add tokens to your email one of two ways:
- Selecting the "Merge Field" option in the top menu
- Typing "[" in the body of the email
