Overview
An access level is the degree or scope of access a Team Member has in Click Boarding. The access level is the sum of the permissions the user has access to and the operations they can take on those permissions. At a high level, this can be thought of what a Team Member can do in Click Boarding. Sometimes referred to as a role.
Click Boarding default access levels
Click Boarding offers five default, non-editable, access levels for clients to take advantage of. These access levels are Full, Limited, Limited Assign Only, None, and Task Only. Note that due to several behind the scenes differences, these access levels cannot be copied. You can find more information about the Click Boarding default access levels here.
How to create an access level
Access level creation is only available to users who have the Click Boarding default Full access level. Once the access level is created, it can be edited by selecting the access level. Access levels cannot be deleted.
- Navigate to Company
- Select Access Levels
- Select Create Access Level or Copy an existing access level
- Give the access level a unique name
- Select the desired permissions
- Select Submit
Permission Definitions
Employees
- Can view Employees
- This permission allows users to view employees in the Employee List
- This permission allows users to export the Employee List (note that the only data that is exported is what is visible in the list)
- This permission is required for all other employee related permissions
- With this permission enabled, the user will have access to the Employee List menu item and homepage card
- Limit to employees where the user is the Hiring Manager, Coordinator, or Recruiter
- With this permission, users will only be able to see employees where they are assigned as the Hiring Manager, Coordinator, or Recruiter
- Can add and edit employees
- This permission allows the user to add new employees in the employee list
- This permission allows the user to edit employee profile data such as name and email
- This permission allows the user to add a process flow to an employee or edit an existing one
- Can view and download ALL forms and complete Admin facing forms associated with the employee
- This permission allows the user to view and download completed forms
- This permission allows the user to complete ANY form that is admin facing for an employee
- This includes Form I-9 Section 2
- Can reset employee forms
- This permission allows the user to reset completed forms
- Note that Form I-9 and surveys cannot be reset
- This permission allows the user to reset completed forms
- Can complete tasks
- This permission allows the user to complete tasks associated to the employee
- Can access View Employee Data button on employee profile
- This permission allows the user to access the View Employee Data button on employees' profiles
- Note that this will not show survey data
Processes & Content
- Can add, edit, and delete Process Flows
- With this permission enabled, the user will have access to the Processes menu item and homepage card
- This permission allows the user to configure new and edit existing process flows in the process flow builder
- Can add, edit, and delete Forms
- With this permission enabled, the user will have access to the Forms & Content menu item and homepage card
- This permission allows the user to configure new or edit existing forms in the forms builder
- Can add and edit Tasks
- With this permission enabled, the user will have access to the Tasks menu item and homepage card
- This permission allows the user to configure new or edit existing tasks in the tasks builder
- Can add and edit Data Fields
- With this permission enabled, the user will have access to the Data Fields menu item and homepage card
- This permission allows the user to configure new or edit existing data fields in the data fields builder
- Can add, edit, and delete Emails
- With this permission enabled, the user will have access to the Emails menu item
- This permission allows the user to configure new or edit existing emails in the email builder
Company
- Can add and edit Locations and Location Groups
- With this permission enabled, the user will have access to the Locations and Location Groups menu items and the Locations homepage card
- This permission allows the user to configure new or edit existing locations and location groups in the locations and location groups builders
- Can add and edit Team Members
- With this permission enabled, the user will have access to the team members menu item and homepage card
- This permission allows the user to configure new or edit existing team members in the team members builders
- Can add and edit Brands
- With this permission enabled, the user will have access to the brands menu item and homepage card
- This permission allows the user to configure new or edit existing brands in the brands builder
- Can add, edit, and delete documents for AI
- With this permission enabled, the user will have access to to the AI menu item
- This permission allows the user to name the Employee AI Assistant as well as add, edit, or delete documents from the assistant's knowledge base
- Note that this requires your organization to have opted into using the Employee AI Assistant
Reporting
- Can view Dashboards
- With this permission users can access the Dashboard menu item and view data visualizations
- Note that this menu item also requires the organization to have opted into this feature as well as the user being assigned to the All Location Group.
- Can view Process Flows Report
- With this permission users can access the Process Flows report and export the data
- Can view Forms Report
- With this permission users can access the Forms report and export the data
- Can view Employees Report
- With this permission users can access the Employees report and export the data
- Note that this menu item also requires the user to be assigned to the All Location Group.
Note that while the reporting section has employee data, users do not need the Can view employees permission to access the Reporting sections.
Bulk Imports
- Can import and update records
- With this permission the user can access the Bulk Imports feature and import and update records
- Note that this permission is unavailable unless the user also has the below permissions. This is so the user can check and adjust any import they may have completed.
- Can view employees
- Can add and edit employees
- Can add and edit Team Members
Action Center
Note to have access to the Action Center, users must have the Can view employees permission plus at least one of the following:
- Can view and download ALL forms and complete Admin facing forms associated with the employee
- Can complete tasks
