All records remain in our Form I-9 Partner’s system until the client terminates their services with our product, at which point they will receive export options. Otherwise, the only other way that data gets purged is if a record is identified as "terminated" by a user and the retention period expires. After the retention period expires, their system automatically and permanently purges the data from the system so that the client is not maintaning PII data for longer than is legally required. The retention period of 1-3 years is determined by the hire and termination date on the Form I-9 and their system detects this automatically using an algorithm. It then sets a purge date and permanently purges that data from the system.
In conclusion, for a client to trigger any purging, they must actively terminate records in the system (this is physically done by accessing the Form I-9 and pressing the "Terminate" button at the very bottom). If no records are terminated, then none are ever placed in the purging queue and will remain in the database until the client leaves their service.
