To add a step to a process flow:
- Navigate to the Processes List
- Select the name of the process you want to add the step to or go through the Create Process flow
- Select Add a Step
- Select the type of step you want to add
- Add the Title
- This will be displayed in the Employee Portal
- Add the Step Type
- This will determine if the step needs to be completed by the Employee or by a Team Member
- Select if Admin Signature should be applied to forms in the step
- This is only available for Team Member facing steps
- Add an explanation
- This will be displayed in the Employee Portal
- Configure any events needed
- Place that step in the desired location
- This can be done by dragging and dropping the step or using the left and right arrows
- Add Activities to the step
- Drag and drop the activities into the desired order in the step
Step Types
- E-Signature
- This is an Employee-facing step
- The step will automatically contain the E-Signature creation form, which will collect an Employee's signature (note that Admin signature is applied differently)
- Any forms placed after the E-Signature form (either in this step or in subsequent steps) will have the employee's signature applied
- This is a locked step. No additional forms can be added to this step; however, the details can be modified, emails can be triggered, and processes can be chained.
- Blank
- This step can be defined as either Employee or Team Member facing
- This step is the main type of step that will be used
- This step can be used numerous times within one process
- W4 Wizard
- This is an Employee-facing step.
- This will add the Tax Wizard to the process flow
- The Tax Wizard will present employees with their tax withholding forms
- This is a locked step. No additional forms can be added to this step; however, the details can be modified, emails can be triggered, and processes can be chained.
- I9 Section 1
- This is an Employee-facing step.
- This step presents Section 1 of I-9 to the Employee
- This is a locked step. No additional forms can be added to this step; however, the details can be modified, emails can be triggered, and processes can be chained.
- I9 Section 2
- This is a Team Member-facing step.
- This step presents Section 2 of I-9 (and EVP if applicable) to a Team Member
- If you add Section 1, make sure to add this step
- We recommend that this is the last step of your process.
- This is a locked step. No additional forms can be added to this step; however, the details can be modified, emails can be triggered, and processes can be chained.
Activity Types
- Forms & Content
- Allows you to add a data entry form, agreement form, or content form to the step
- Email
- Allows you to add an email to the step
- The email will be sent when it is reached in the process flow. For example, if an email is the first activity in step 3 it will be sent when the employee reaches step 3
- Tasks
- Allows you to add Team Member tasks to the step
- Processes
- Allows you to chain another process flow to the existing process flow
- The process flow will be assigned when it is reached in the process flow. For example, if a process flow is chained as the last activity in step 10 it will be assigned to the employee when they reach the end of step 10
- Surveys
- Allows you to a preboarding or exit survey to the step
