Admin Signature

Overview

Administrator signature expands the Click Boarding e-signature functionality to allow administrators to sign off on employee onboarding documentation.  This includes administrators who need to individually sign a document during an employee onboarding process.  It allows the administrator to digitize the admin signature process via an accepted and secure means.

Administrator’s signature follows same guidelines as employee signature and includes:

• Signature
• Personal information
  • Name
  • Date of captured signature
  • IP Address

How to set up Administrator Signature

This functionality lives within the process flow creation in Click Boarding Admin.  You can add admin e-signature to any step within a process flow.

1. Navigate to step settings
2. Choose “Show to Team members” in drop down
3. Check toggle “Admin Signature”
   • Once toggled, signature icon will show in process list and step
4. Add a form with admin signature capabilities to the step
5. Edit form settings to choose who should be assigned for signature

Once form is assigned to employee, the administrator can act upon the forms within the action center and grapevine.

Once form is signed by an administrator, the form can be reviewed via the employee grapevine.  

1. Navigate to the employee list
2. Find specific employee and click on Process Flow
3. Find step with admin signature form
4. Click document icon to review completed form with signature
5. Hit download button to download as PDF 

Capturing Administrator Signature

If administrators have not yet provided their signature, they will be prompted to do so upon actioning the required form to be signed.  Once their initial signature is captured, it is stored to their profile and will be utilized going forward.  The initial signature is captured the first time a team member goes to action upon a form.

The following types of forms are available for admin signature:

• Agreement Form
• Data entry
• Custom legacy-built acknowledgement forms
  • Please note legacy (manage) forms that are not rendered review and utilize a custom output will need to have their output template updated to include signature.
