There are scenarios where an employee may not need to complete a form they have been assigned. In these scenarios forms can easily be skipped via the Admin UI. When a form is skipped it is completely removed from the employee's process flow. Form skips cannot be undone.
Who can skip a form
- The skip feature is limited to Team Members with Full access and requires access to the employee's location.
- The form skip permission can be added to any custom access level
To skip a form in the Admin UI
- Navigate to the Employee List [Home] -> [Employee List]
- Select the Process Flow of the Employee you wish to skip the form for
- Please note that if the employee has multiple process flows assigned, you want to be extra careful that you are in the correct process flow
- Select the Step that the form belongs to
- Select Skip next to the form that you wish to skip
- Enter the reason the form is being skipped
- Select Yes to skip
To skip a form via API
Forms can be skipped via API using the FormSkipped-PUT endpoint. For more information, please visit the Click Boarding Developer Portal.
Form Skip Edge Cases
- Today the reason is not visible in the UI. We would like to add this in the future.
- Skipped forms do not show in Activity Logs. We would like to add this in the future.
- If the form skipped in the last open activity in a process flow, the process flow will move to closed once skipped.
- The Tax Information collection form can be skipped, but it is advised against. This form makes sure that all the necessary data needed for the tax wizard is collected. Skipping this form could break that process.
- E-Signature creation can be skipped. If it is skipped there will be no E-signature applied to forms.
- If a form has a creation form (done by an Admin user) and an acceptance form (done by the employee), if the creation form has been skipped, the acceptance form should also be skipped. This includes forms like Offer Letters and State Pay Rate form.
- The embedded I-9 and surveys added to process flows cannot be skipped. This is being added in the next development cycle.
- You cannot skip the HR Workcycles or Equifax Form I-9 since these kickoff processes in their systems.
- Day 30, 60, and 90 surveys cannot be skipped.
- If a step only contains one form and that form is skipped, from the employee experience it will seem as if that step never existed.
